Integrated modelling and automation of business processes

Business processes include these activities of the organisation, which focus on the implementation of the strategy of the company in the shortest time and the best, possibly most repetitive (procedural) way. The process is superior to the organisational structure of the company, which means that achievement of process goals becomes more important than appropriate execution of the procedures by an organisational unit. Modern organisations more and more often prefer to define, measure and control business processes and not procedures of their execution.

When the organisation defines and optimises their activities with the use of business process modelling application, the models defined in such a way can be integrated with a workflow system. Then company business process architects change not only models but, in a direct and immediate way, they change the way employees work!

Implementation of such a concept gives a chance to increase significantly:

  • employee productivity,
  • business process productivity,
  • the speed of introducing changes into the processes
  • adjustment to changes in the company environment

Business process modelling

Thanks to such business process modelling tools like DGA Process, ARIS, iGrafx Process, QPR Process Guide and many others, the company gets connection between models and organisational structure, as well as definitions of related documents and information.

Usually the road from the moment of the creation (or update) of the process model to its implementation on individual workstations is difficult and long. Typical implementation tools include employee trainings, publication of models on the Internet or, simply, orders. The effectiveness of these means depends on the organisational and communication capabilities of the company, but usually, falls short of the expectations.

In the situation, when the economic environment is undergoing dynamic changes, business processes should be able to adjust to these changes. However, process modelling, even with the use of advanced modelling applications, very often seems pointless – processes change fast only in their definitions. A long period of their implementation, the main cause of inertia – makes frequent process modification impossible.

Business process automation

Workfow systems, often associated purely with electronic flow of documentation, are undoubtedly an important and beneficial element of the IT strategy. More and more companies use integrated company management systems, whose basic component is a workflow system:

  • automating routine actions, procedures and flow of information,
  • supporting information management within the company,
  • integrated with such devices as fax server, scanners and OCR,
  • integrated with ERP, MRP, BI, and call centre software

A technologically new possibility is integration of such systems with business process models.

Integration of business process modelling and their automation

The real process differs from the information process. Only the latter can be completely supported by IT solutions. However, business process models are usually too general and because of this, not ready for direct translation into automated work procedures. In order to make it possible it is necessary to complete the definitions of business process models to make them more precise. If we utilize such an expanded notation of a process model, we will be able to integrate previously separate areas of our organisation. Thus, we will eliminate the necessity of defining business processes and electronic flows separately, get rid of the necessity to control the cohesion of changes introduced in business processes and related information systems.

After the implementation of such a solution, it is enough to change the process definition in one place to make the system prepare new documentation and electronic flow automatically! Thanks to this, the management can steer the whole company, and the IT system will automatically support the process of implementing changes in the organisation. Business process model, customer relationship management system , quality management system and IT system will become closely integrated.

Our solutions which enable achieving the above mentioned benefits are built:

  • on Lotus Notes Domino communication platform
  • in Lotus Workflow design and workflow management technology (optional)
  • with the use of information and knowledge management environment as well as other solutions of Macrologic Group, which are applications operating in this environment

APIS system stores the complete definition of the process model, including activities which are not IT supported. This gives a unique opportunity to have a full control over the business processes by means of the workflow system. Then, the same information is observable in document file view, tasks and projects view as well as defined business processes view.

Benefits

  • Facilitating translation of the goals and the strategy of the organisation into actions of individual employees at every level,
  • Direct and immediate modelling of the organisation through business processes and related flows of documents, issues and tasks,
  • Increase in the productivity due to a rise in the efficiency of employees and faster implementation ob business process changes,
  • Considerable reduction of costs related to change implementation,
